Note: This is a consulting position supporting organizations participating in FEMA’s Public Assistance program. It is not a federal government position.

The Project Coordinator provides administrative and organizational support for MDCG’s disaster recovery assignments. The role maintains project trackers, coordinates records intake, schedules meetings, tracks deadlines, and follows up on outstanding administrative items.

Working under designated project leadership, the Coordinator maintains accurate information and routes substantive questions to the appropriate personnel. The role keeps assignments organized, on schedule, and well documented.

This is an on-call, as-needed position. Work assignments are not guaranteed and are dependent upon contract awards, client needs, project requirements, disaster activity, qualifications, availability, and other business needs. Assignments may be offered as opportunities become available, with periods of inactivity possible between assignments.

  • Maintain project trackers, contact lists, schedules, deadline calendars, and action-item logs.
  • Receive, organize, label, and route applicant records to the appropriate project and personnel.
  • Apply established naming conventions, filing procedures, access controls, and version-management practices.
  • Schedule meetings, prepare agendas, and document decisions, assigned actions, and follow-up dates.
  • Track information requests, outstanding records, submission deadlines, and administrative dependencies.
  • Coordinate authorized uploads and retain submission receipts or acknowledgment records.
  • Distinguish submission status from review or approval status in project trackers.
  • Prepare routine status updates using information supplied by project personnel.
  • Escalate overdue items, incomplete administrative information, and scheduling conflicts.
  • Support organized handoffs between project development, specialist review, and closeout.
  • Safeguard confidential information and follow MDCG’s designated review process.

Required Qualifications

  • Minimum of three years of relevant project coordination, records administration, or grant-program support experience.
  • Strong organizational skills and attention to detail.
  • Ability to maintain accurate trackers, correspondence, meeting records, and document logs.
  • Experience supporting disaster recovery, public-sector, construction, or grant-funded projects.
  • Familiarity with FEMA Public Assistance terminology and Grants Portal.
  • Relevant education or training in business administration, project coordination, grants, or records management.
  • Proficiency with Microsoft Excel, Word, Outlook, PDF tools, and electronic document systems.
  • Ability to manage competing administrative priorities and follow established procedures.
  • Professional communication skills and discretion when handling confidential information.
  • Ability to recognize and route questions outside the role’s administrative scope.

Employment Arrangement

W-2 or 1099, as applicable to the position and assignment.

Compensation

Compensation will be determined based on relevant experience, qualifications, and assignment responsibilities.

Physical Requirements

  • Prolonged periods sitting or standing at a desk and working on a computer.
  • Ability to attend client meetings or travel when specifically required by an assignment.
  • Ability to work extended schedules when required to meet project deadlines.

Work Environment and Environmental Factors

  • Work may be performed remotely, in an office, or in a client setting.
  • Assignments involve frequent coordination, document handling, and changing priorities.
  • Work requires collaboration with geographically dispersed project teams.
  • Travel expectations will be identified for the assignment.
